MS Money, Quicken and Reservation Master 5
You can integrate your front desk operations with your
MS Money or Quicken accounting tools to have all your sales and cost data in one
place. The Money/Quicken interface, lets you assign the Money/Quicken
Categories to your Reservation Master 5
sales items. Then when deposits are processed, a sale completed, or a
reservation closed, just click the Accounting Interface function 'Export
Sales Data to MS Money/Quicken' and your data will be prepared for import
into your accounting tool. No need to enter your sales data again into
Money or Quicken.
Here's how to use the interface:

Sales data gathered in Reservation Master
5
should be 'exported' to MS Money or Quicken on a regular basis (probably weekly during
the busy seasons; at least monthly for reconciling bank statements).
Before your first export, however, go to the Set-Up function and select
the first option - 'Application Name, Deposits, ...' - and check Money or
Quicken. Then go
the Set-Up function option 'Sales Item List'. Associate the appropriate
Money/Quicken 'Category' to each Reservation Master
5 sales item. You can use subcategories just as you
would in your accounting program (e.g., Boats:16ft.). This will assure
your data is properly organized when it is sent to Money/Quicken. You're
now ready to use the interface.
- To see whether any data is ready to be exported to
your accounting tool, go to the Home Page and click on the Accounting
Function Export to Money/Quicken. If there are any deposits or closed accounts
listed, you have some data to export. (You first need to create
'deposits' from your payments using the Deposit Payments
function)
- Then click the 'Export' button. You will shortly
receive the 'Export successful' message. Reply 'OK' and Reservation Master
5 will automatically 'Quit'. Go immediately to
your accounting tool to import your sales data (The
following instructions may vary slightly depending on the version of
Money or Quicken that you are using).
- MS Money users: Go to 'File/Import' and select
the file 'RMquickenmoneyData.QIF' in the Reservation Master 5 folder. Use the 'As a
new or Recovered Account' option. Select the bank account into
which deposits are made and click 'OK'.
- Quicken users: Go to 'File/Import QIF' and select
the file 'RMquickenmoneyData.QIF' in the Reservation Master 5 folder. Open the
file. Import only 'Transactions'. If requested, reply 'Yes' to
creating categories.
- It is critical that the data be imported into
Money/Quicken immediately. The next time you run Reservation Master 5's
'Export Sales Data' function, the previous data will be overwritten
and lost.
To avoid losing any data, and to prevent doubling up on
any sales data in Money/Quicken, be sure to complete all the preceding steps each time you
export the sales data:
